Abstract Preparation
This document provides guidance for ADVANCE-ID abstract submitters on how to prepare and submit abstracts. All submitters must follow these guidelines and review them carefully before preparing their abstracts.
Authors
The submitter is responsible for ensuring all author names are accurate upon submission, including spelling, formatting, capitalisation, and punctuation of names and affiliations.
If the submitter is a co-author, they must ensure their own name is included in the author list. They are also responsible for obtaining permission from all co-authors and relevant stakeholders to submit and present the abstract.
ADVANCE-ID does not accept liability for errors in author names or affiliation details.
Title
Abstract titles should be concise and follow these guidelines:
Capitalise only the first word, except for acronyms.
Italicise Latin terms, including genus and species names.
Do not end the title with a period.
Text
The abstract, including the title, should not exceed 350 words (figure descriptions and references are exempt from this limit). UK English is the standard language for ADVANCE-ID, and submitters are expected to adhere to this standard in grammar and spelling. Avoid using all capital letters, except for abbreviations or acronyms.
For research abstracts, provide a brief outline of the background, context, and objectives. The methods section should include key details about the research setting, data collection, and analytical methods. The abstract must present original results not previously published or presented.
For case reports/series and Clinical Grand Round (CGR) cases, emphasise unique aspects of the case (such as clinical presentation, diagnosis, or treatment) and highlight key learning points. Abstracts that are narrative reviews or lack original data content will not be accepted.
Figures
To include up to three figures, use the figure upload fields at the bottom of the form. Figures can be images, graphs, or tables.
Accepted formats: JPEG or PNG
Maximum dimensions: 1000 x 1000 pixels
Maximum file size: 3 MB
Images exceeding the specified dimensions will be resised to A4 format for submission confirmation. Ensure all materials are readable before submission.
Spelling
Submitters should use UK English consistently.
The International System of Units (SI) should be applied wherever relevant.
Genus and species names should be written in full the first time they appear, abbreviated thereafter, and italicised where appropriate.
Follow these scientific conventions:
Capitalise systematic names (e.g., Chlamydia, Enterobacterales, Picornaviridae).
Italicise non-English terms (e.g., in vitro, in vivo, ad hoc, ex officio).
Italicise taxonomic names (e.g., Staphylococcus aureus, Clostridium difficile).
Use lowercase for non-systematic names (e.g., group A streptococci, mycobacteria).
Generic drug names should be lowercase (e.g., penicillin).
Follow standard English grammar, including spacing after punctuation.
Use only common abbreviations without definition.
Keywords
Authors must select three keywords to best represent the abstract’s content.
Submission
You may save and edit your abstract any time before final submission. After submission, a confirmation email will be sent to the submitter with a copy of the abstract. Follow-up correspondence will be directed exclusively to the submitter.
Changes to the abstract content are not allowed after submission. For inquiries or to change the presenting author, contact us at ephbox69@nus.edu.sg.
How to Prepare an Impactful Abstract
A scientific abstract is a concise overview of the research or case presented. It should be clear and logically structured, answering key questions and highlighting the originality of your work.
Writing Style Recommendations
Be concise: Use clear, succinct language to engage readers effectively.
Use an active voice: Favor active verbs for clarity (e.g., "the study tested" rather than "it was tested by the study").
Clarity: Keep language simple to ensure accessibility for a broad audience.
Avoid jargon: Minimise specialised terms and abbreviations to cater to readers of varying familiarity.
Review and proofread: Allow sufficient time to check for grammar, punctuation, and spelling errors.
Feedback: Seek feedback on readability from a colleague unfamiliar with your work.
Submit early: Submit well before the deadline to allow time for thoughtful crafting and revisions.
